2. Who can participate as a Exhibitor?
We believe B2BookingsMed 2026 represents a concrete opportunity to position your organization internationally, build new distribution channels, and develop long-term collaborations with global healthcare travel operators.
3. How can I apply as a Exhibitor?
To participate, you must complete the **online registration form** available on the event website + the paper form you will receive fom us by mail in a second time. All applications are subject to review and confirmation by the Organizer.
4. Who is the organizer ?
The event is powered by the experience of BookingsMed and its long-standing international medical tourism network, bringing together hundreds of buyers, speakers, and healthcare organizations in a focused, business-oriented setting. All contract have to be signed with M&M servizi srls who is the only company in charge of collecting the registration fees.

7. Can I modify or cancel my participation?
Any modification or cancellation must be communicated **in writing** and is valid only upon written confirmation by the Organizer. Cancellation terms and possible penalties are outlined in the **Terms and Conditions of Participation**.
8. What happens in case of a no-show?
Unjustified no-shows may result in:
* Administrative penalties
* Reimbursement of organizational costs
* Exclusion from future events organized by WFS Events
9. Do I need a visa or special documentation?
Exhibitors are solely responsible for obtaining **visas, travel documents, and permits** required to attend the event. No refunds will be issued for failure to attend due to documentation issues.
10. Can I transfer my participation to another person?
Yes. But only with explicitly authorized in writing by the Organizer.
11. Will my image or participation be recorded during the event?
Yes. By participating, Buyers consent to the use of **photos, videos, and recordings** for promotional, institutional, and communication purposes, unless otherwise requested in writing prior to the event.

Terms and Conditions of Participation
1. Definitions
1.1 In these Terms and Conditions, “Buyer” refers to any party (travel agent, doctor, pharmacist, concierge, or facilitator) who has submitted a participation request accepted by the Organizer. “Organizer” refers exclusively to MEM SERVIZI SRLS - Via G. Marconi 2178/22 – 45030 Pontecchio Polesine – RO – ITALY – VAT IT 01663570297. “Event” means the exhibition, congress, or meeting the Buyer is attending as specified in the application form.
2. Costs and Participation Terms
2.1 Buyer participation is co-financed by the Organizer or Commercial Partners (Exhibitors/Sponsors), unless otherwise stated in writing.
2.2 The Organizer reserves the right to modify conditions due to fiscal, regulatory, or economic changes.
2.3 Any participation fee, if required, must be paid as indicated and must be net of any bank charges.
2.4 Prices are exclusive of VAT, where applicable.
2.5 Buyers are required to participate in all activities scheduled in the official program (e.g., B2B meetings, conferences, site inspections); failure to do so may result in partial reimbursement of expenses incurred by the Organizer.
3. Selection, Modifications, and Cancellation
3.1 The Organizer reserves the right to accept or reject any participation request at its sole discretion.
3.2 Participation is personal and cannot be transferred to third parties without prior written consent from the Organizer.
3.3 Any changes to the Buyer’s participation must be communicated in writing and are only valid if confirmed by the Organizer.
3.4 In case of cancellation without documented valid reason (e.g., illness, emergencies), the Buyer may be held responsible for expenses incurred on their behalf (travel, accommodation, services).
4. Liability and Indemnity
4.1 The Buyer participates under their own responsibility and agrees to act professionally, respectfully, and in accordance with the law.
4.2 The Buyer shall indemnify and hold harmless the Organizer from any civil, administrative, or criminal liability arising from damages caused to persons, property, or premises.
4.3 The indemnity includes, but is not limited to:
- Violations of local or international laws;
- Unauthorized use of content or trademarks;
- Misconduct or actions damaging the event’s or partners’ image.
4.4 Obtaining visas, permits, or personal documentation is the sole responsibility of the Buyer. No refunds will be granted for failure to attend due to documentation issues.
5. Modifications and Force Majeure
5.1 The Organizer shall not be liable for delays, postponements, or relocation of the Event due to causes beyond its control.
5.2 In such cases, the Organizer may reschedule, alter, or move the Event without any refund obligation.
5.3 Force majeure includes but is not limited to: natural disasters, pandemics, government orders, strikes, terrorism, or any unforeseeable events.
6. Termination of Contract
6.1 If the Event is cancelled due to force majeure, all expenses incurred will be retained.
6.2 The Buyer waives any legal claims against the Organizer in such cases.
7. Postponement or Relocation
7.1 If the Event is postponed or relocated, the Buyer’s participation will automatically transfer to the new date or location.
7.2 If the Buyer declines to participate, no refund will be issued.
8. VAT and Invoicing
8.1 Any costs or participation fees, where applicable, will be subject to VAT according to the tax laws of either the Organizer’s or the Buyer’s country, as appropriate.
9. Cancellation by the Buyer
9.1 Cancellation must be communicated in writing and is valid only upon written confirmation from the Organizer.
9.2In the event that the Buyer cancels
more than thirty (30) days prior to the Event,
no penalty shall apply.
If the cancellation occurs
within thirty (30) days prior to the Event, a
penalty fee of EUR 330.00 shall be applied as a flat reimbursement for organizational costs incurred.
9.3 In the event of unjustified no-show, the Buyer may be excluded from future events and may be subject to administrative penalties.
10. Safety and Conduct
10.1 The use or possession of hazardous materials, illegal equipment, or inappropriate behavior is strictly prohibited.
10.2 The Buyer agrees to comply with all instructions provided by the Organizer, venue staff, and local authorities.
11. General Conditions
11.1 Buyers must ensure their presence at all mandatory sessions, including scheduled meetings.
11.2 Complaints must be submitted in writing within 14 days after the end of the Event to: info@wfsevents.com
11.3 This agreement is governed by Italian law. The competent court is Rovigo, Italy, unless otherwise agreed in writing.

12. Privacy and Media Consent
12.1 By participating in the Event, the Buyer consents to the recording of their image, voice, and participation via photos and videos.
12.2 This material may be used by the Organizer and its partners for informational, promotional, or institutional purposes.
12.3 Consent may be withdrawn by writing to info@wfsevents.com prior to the Event.
